General Responsibilities:The Executive Assistant will support the Corporate HR, Marketing and Sales SVP team.Responsibilities include the following:Meeting administration and planning.Maintain department calendar of meetings, appointments, travel, etc.Preparation of professional presentations.Coordination of department training and related administration.Data collection and entry.Other administrative duties as assigned.Maintain files and databases as required.Coordinate and schedule activities such as meetings, travel, and department activities for members of the Human Resources, Marketing and Sales departments.Prepare labor contract revisions.Create and develop visual presentations.Organize and prioritize large volumes of information and files.Open, sort and distribute departmental mailAnswer phonesAssist the VP's the management of his schedule.Work independently and within a team on special and nonrecurring and ongoing projects. Act as a project manager for special projects, at the request of the VP's, which may include: planning and coordinating multiple presentations and disseminating information.Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.Other duties as assigned to meet business needs.Essential Requirements:A High School diploma (Associates degree a plus).Three or more years of related administrative experience.Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.Must be able to interact and communicate with individuals at all levels of the organization.Must have knowledge of a variety of computer software applications in word processing, spreadsheets, graphs, charts and presentation materials and software (MSWord, Excel, PowerPoint). Knowledge and experience with a database (Access) preferred.Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
