JOB TITLE:
Administrative Assistant - Finance
POSITION SUMMARY:
The Administrative Assistant will provide efficient and effective
executive support such as calendar management, phone coverage, and
expense management. The role requires an Administrative Assistant
that possesses structure, attention to detail, strong communication
skills, quality focus, enthusiasm, and flexibility in a high-paced
work environment. In this role you will need to work well in a team
environment, be able to represent the company with professional
courtesy and acumen and deliver flawless work output. Your daily
routine also includes interaction with high-net-worth clients.
RESPONSIBILITIES:
- Be the first point of contact for clients and visitors in the
office and by phone
- Manage calendars and coordinate logistics for internal or
external events, including attendees, materials, and
communications
- Sort, screen, review, and distribute incoming and outgoing
mail, and prepare timely responses to a variety of routine written
inquiries
- Monitor email and process general copying, filing, and
scanning
- Compose and edit correspondence and/or memoranda from
dictation, verbal direction, or from knowledge of established
policies
- Schedule and coordinate meetings, events, interviews,
appointments and/or other similar activities
- Assist with various meeting preparation responsibilities
- Establish, maintain, and update files, databases, records,
and/or other documents
- Requisition supplies, printer products, maintenance, and other
services
- Maintain electronic client files
- Administer other duties as delegated by the team
- Actively engage in available training and education programs to
stay current on policies, procedures, and risk awareness
- Maintain confidentiality
- Other duties as assigned
WHAT YOU'RE GOOD AT:

customer service or administrative support at the highest
level

WHAT YOU HAVE:
- Prior experience in the finance industry is strongly
preferred
- High school diploma or equivalent and (2) two years' office or
customer service experience
- Bachelor's Degree preferred
- Notary License is a plus
- Advanced Microsoft Office skills (Word, Excel, Outlook, and
PowerPoint)
- Experience with Salesforce is a plus
- Superb organizational skills and attention to detail
- Strong time management skills, ability to multi-task and
prioritize in a demanding, fast-paced environment
- Strong interpersonal, teamwork, and customer service skills
must have a polite and professional demeanor and phone manner and
be comfortable working with high-net-worth individuals
- Strong problem-solving skills must be discreet, proactive,
resourceful, flexible, and creative
