Office Manager/Bookeeper Job Status : Full Time FLSA Status : Non-Exempt Reports To : Executive Director Positions Supervised : None Work Schedule : 40 hours a week; times may vary POSITION SUMMARY Analyze financial information and prepare financial reports to determine or maintain record of assets, liabilities, profit and loss, tax liability, or other financial activities within an organization. Serve as office administrator in tracking and preparing HR reports, AWARE reports, maintaining interior of office and office equipment. Reasonable accommodations may be made to help enable qualified individuals with disabilities to perform the essential functions.Essential Functions of Staff Accountant Responsibilities: Prepare, examine, or analyze accounting records, financial statements, or other financial reports to assess accuracy, completeness, and conformance to reporting and procedural standards. Report to management regarding the finances of establishment. Develop, implement, modify, and document recordkeeping and accounting systems, making use of current computer technology. Compute taxes owed and prepare tax returns, ensuring compliance with payment, reporting or other tax requirements. Develop, maintain, and analyze budgets, preparing periodic reports that compare budgeted costs to actual costs. Provide internal and external auditing services for businesses or individuals. Analyze business operations, trends, costs, revenues, financial commitments, and obligations, to project future revenues and expenses or to provide advice. Advise management about issues such as resource utilization, tax strategies, and the assumptions underlying budget forecasts. Prepare forms and manuals for accounting and bookkeeping personnel, and direct their work activities. Appraise, evaluate, and inventory real property and equipment, recording information such as the description, value and location of property. Survey operations to ascertain accounting needs and to recommend, develop, or maintain solutions to business and financial problems. Manage grantor contracts and reimbursement requests.Essential Functions of Office Administrator Responsibilities: Track employee time sheets Submit payroll to Decision HR Open & Distribute Mail Serve as back - up Case Manager Assist with Marketing - Facebook, Twitter, Intragram Participate in Outreach Activities Assist with Grant Writing Participate in outreach activities to generate interest in funding, new clients and volunteers Maintaining, archival and administrative files. Maintain interior of building - engage professionals to maintain interior offices (plumbing, air conditioning, carpet cleaning, office cleaning, etc) Maintain office equipment - engage professionals when necessary Order and monitor office supplies Interact and assist clients during Lighthouse of Collier events AWARE reporting, invoicing and input when necessary Maintain donation/CRM database Shred confidential documents.POSITION QUALIFICATIONSCompetency Statement(s) Detail Oriented - Ability to pay attention to the minute details of a project or task.
