Job Description:

The Administrative Assistant/Accounting Clerk will report to the Managing Director in a Confidential Family Office located in Naples, Florida. The primary focus is to work closely in collaboration with the Accounting Department to support the day-to-day administrative and accounting functions of the office to support the efficient and effective operation of the organization.
This role requires strong attention to detail, a collaborative working style, and the ability to take direction and juggle multiple competing priorities.
Principal Accountabilities:--- Successful use of accounting databases, spreadsheets, and software--- Post transactions in appropriate systems--- Assist with input and review of accounts payable--- Receive and record vouchers, cash, and checks--- Coordinate and maintain corporate credit card accounts--- Produce a variety of accounting reports ---- Check for accuracy in reports, figures, and postings--- Reconcile and report any discrepancies found in records--- Interact with management, consultants, and vendors--- Compose, draft and type letters and memoranda. -Type highly confidential and sensitive materials as well as a variety of documents which may include taking raw text and transforming it into a professional, well organized document.--- Establish, organize and maintain files for correspondence and records; some of which are highly confidential.--- Prepare miscellaneous presentations and Excel spreadsheets as needed.--- Assist in meeting preparation data.--- Assist with overall office needs and miscellaneous projects -
Qualifications/Requirements--- Thorough knowledge and ability to follow Company Policies and Procedures.--- Familiar with business operations ---- Excellent telephone, communication and human relations skills.--- Ability to work independently and in pressure situations--- Prior experience as a strong Administrative Assistant or Accounting Clerk.--- Sound judgment, initiative and good decision and organizational skills.--- Good English grammar, spelling, proof reading and research skills.--- Expertise with the Microsoft Office software, as well as modern office machines.
Required Skills & Experience:--- Excellent references from employers--- Strong research and analytical skills--- Detail oriented--- Advanced knowledge of both Microsoft with proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
